MyPlanBuddy Privacy Policy
Version 1.0 · Last updated: September 23, 2026
Summary
- MyPlanBuddy has no servers of its own, doesn't ask you to sign up and doesn't collect your data for us. We have no access to your tasks, your history or your health data.
- Your tasks, routines and completions stay on your device and, to sync across iPhone, iPad and Apple Watch, in your own iCloud, within your Apple Account.
- Using the Health app is optional and read-only. Health data is read and interpreted on the device itself and never goes to the app's iCloud.
- There is no advertising, tracking, usage analytics tools or third-party SDKs in the app. We don't sell or share data.
- You can turn off the use of Health, revoke permissions and delete your data at any time, as explained in section 10.
This Policy explains in detail what data MyPlanBuddy processes, where it is stored, what it is used for and what your rights are, in accordance with the Lei Geral de Proteção de Dados Pessoais (LGPD, Brazil's General Personal Data Protection Law, Law No. 13,709/2018) and the Marco Civil da Internet (Brazil's Civil Rights Framework for the Internet, Law No. 12,965/2014).
1. Who is responsible
MyPlanBuddy is developed and made available by GABRIEL RIGON TECNOLOGIA LTDA (GBRLRG) ("we" or "us").
We define how the app works and, for that reason, we are responsible for the decisions about the data processing it performs on your device. Because the app was built so that this data never reaches us, we cannot look it up, correct it or delete it for you. The controls are in your hands, in the app itself and in the system settings.

2. How MyPlanBuddy works
MyPlanBuddy is a personal organization app for iPhone, iPad and Apple Watch. It fits your tasks into the time windows of your routines and adapts its suggestions to your day, taking into account only what you tell it in the check-in (if you allow it) and your usage history. Data from the Health app, if you allow it, is used only to show an energy estimate and never decides the suggestions.
The app was built to work on the device ("local-first"):
- all suggestion logic, estimates and artificial intelligence features run on the device itself;
- the app doesn't send data to our servers, because we have no servers for that;
- the only syncing is done by Apple services, in your account, as explained in section 3.
3. What data the app processes, where it is stored and what for
| Data | Where it comes from | Where it is stored | What it is used for |
|---|---|---|---|
| Tasks and routines: titles, notes, first step, duration, due dates, repetition, effort, category, time windows and status | You | On the device and in your iCloud (CloudKit private database, in your Apple Account) | Organizing your day and syncing across iPhone, iPad and Apple Watch |
| Completion history: date, task, duration, effort and focus minutes | App usage | On the device and in your iCloud | Showing your progress and the Rhythm screen |
| Profile name and photo | You, optional | Only on the device | Personalizing the app |
| Preferences: review day, reminders, liking to get ahead, and similar | You | Only on the device | Adjusting the app to your style |
| Check-in "how's your energy today?" (the energy level you mark on a 5-level scale) and answers to "did this suggestion help?" | You, only if you allow the check-in | Only on the device and on the paired Apple Watch | Adapting the day's suggestions |
| Usage log: suggestions shown, started, completed or pushed back, reminders sent and opened (without task names) | App usage | Only on the device, for up to 90 days | Learning your rhythm, such as the times when you tend to get the most done |
| Health app data (section 4) | Apple Health, only with your permission | Read on the device, with no copy in the app | Showing an energy estimate (section 4.2) |
| Estimated energy, derived from Health | Calculated on the device | Not stored: recalculated on each reading | Display only, within the app: Rhythm screen and weekly review |
| Calendar event times | The device's Calendar, only with your permission | On the iPhone and on the paired Apple Watch, only start and end times for the next 14 days, replaced on each reading | Subtracting from the time available in windows |
| An event's title and calendar | The device's Calendar, only with your permission and only when you open a day's agenda or tap to see the event | Not stored: read at that moment and shown only on screen | Showing what the event is and which calendar it's from |
| The app's "mood of the day", derived from the check-in and the task load | Calculated on the device | On the iPhone and on the paired Apple Watch, replaced every day | Adapting suggestions and reminders |
| Voice, Buddy+ only | You, when recording a task | The audio is not recorded by the app | Turning your speech into tasks |
| Requests to "find a time" (what you type, dictate or ask through Siri and the Shortcuts app) | You | Not stored: interpreted at that moment, on the device; it only becomes a task if you confirm a time | Finding where something fits in your week |
| Usage counts for the assistant and Buddy+: how many "find a time" requests in the month, times fitted in and tasks split out from voice or text (without the content) | App usage | Only on the device, for up to 62 days | Applying the free plan's monthly limit and showing, in the review, what Buddy+ did during the week |
| Subscription status | Apple (App Store) | On the device | Unlocking Buddy+ features |
What we don't receive: any of the data above. We also don't receive payment details, email, phone number, location, contacts, photos (other than the profile photo you choose, which stays only on the device) or advertising identifiers.
4. Health data
4.1. What the app reads
If you turn on "read the Health app", during onboarding or in Profile, and grant permission on the system permissions screen, MyPlanBuddy may read from the Health app:
- heart rate variability;
- resting heart rate;
- sleep;
- exercise minutes;
- mindfulness sessions.
The app does not read State of Mind (the mood you log in the Health app).
The app reads the last few weeks of this data (about five) to compare your day with your own usual. MyPlanBuddy never writes anything to the Health app. You choose, on the system screen, which of these types you allow.
4.2. What the app does with it
Everything happens on the device. From this data, the app calculates an estimated energy (non-clinical), compared with your own history, and uses it only for display:
- the "your body today" card on the Rhythm screen, with the estimated level and the reasons, always descriptive;
- on the Rhythm screen (Buddy+), the estimated energy alongside completed tasks;
- in the weekly review, a descriptive comparison of sleep, resting heart rate and the heart rate variability trend with your own usual (only when there is enough data);
- in the weekly review (Buddy+), two or three sentences comparing the tasks completed on each day with that day's estimated energy. When the device offers Apple Intelligence, Apple's model that runs on the device itself writes these sentences from a table with the day of the week, the number of tasks completed and the estimated level (without the Health values); without it, the app uses ready-made sentences. The sentences are only descriptive and don't give health advice.
It does not appear in widgets, complications or on Apple Watch.
Health data and estimated energy never decide your tasks, suggestions, reminders, the times from "find a time" or what the review suggests doing with each task. The calculation method is in Profile › "how we calculate estimated energy".
Samples read from Health are not copied or stored by the app, and the estimated energy is recalculated on each reading. None of this goes to Apple Watch or to the app's iCloud.
4.3. What the app never does with it
- It doesn't send health data, raw or derived, to our servers or to third-party servers.
- It doesn't use health data for advertising, marketing, building commercial profiles or data mining.
- It doesn't sell or share health data with anyone.
- It doesn't store health data in the app's iCloud.
- It doesn't diagnose. The estimates show a trend relative to your own usual. They are not clinical measurements and don't indicate that you have any health condition.
4.4. It's optional
The app works the same without Health, because suggestions never use this data. Without this permission, the estimated energy doesn't appear. See section 10 for how to turn it off and revoke it.
5. How suggestions adapt to your day
MyPlanBuddy uses automated rules, inspired by the Just-in-Time Adaptive Interventions (JITAI) approach (Nahum-Shani et al., Annals of Behavioral Medicine, 2018, DOI 10.1007/s12160-016-9830-8), to choose when and how to suggest tasks. In general terms:
- what you tell it in the check-in (if you allow it): if you mark "running low" or "low energy", the now list gets shorter and starts with lighter or shorter tasks; if you mark "good energy" or "energized", it shows more and may start with heavier ones and offer to get ahead on some;
- your day's load, based on what is in your routines: with a lot asking for attention or coming due, the app keeps only a few up front and helps you choose;
- your usage history: for example, the times when you tend to get the most done;
- how the list works for you: if, on days in the same state, you usually ask for the rest and finish it, one more task fits; if the list is usually left over, one less; and your answer to "how did this week feel to carry?" can give the following week one task more or less. This adjustment is calculated on the device, never exceeds one task and is explained in "why these?";
- heavier days (based on the check-in or the load): fewer reminders and focus sessions that start smaller, and the app doesn't make requests, such as asking for a rating or offering a subscription;
- without a check-in: the app shows three tasks at a time, in order of due date and your schedule.
5.1. Find a time and the review
- Find a time: you ask in your own words (for example, "30 min to read a book"). Artificial intelligence only understands the request: the duration, the day, the part of the day and the routine. The possible times are calculated by rules, on the device, from your windows, the tasks already fitted in, the times of Calendar events (Buddy+, if you allow it) and the energy you shared today in the check-in. In Buddy+, the same calculation appears in the AI button when you push back a task. Nothing is created or changed without your confirmation.
- What's stuck (review, Buddy+): the app counts, by rules, the tasks pushed back or rescheduled several times and suggests a way forward (for example, splitting a heavy task or switching windows). Artificial intelligence only rewrites these counts as short sentences.
- Weekly summary: sentences of celebration and focus, and suggestions for what was left behind, which you accept or not, one by one.
Health app data is not part of these rules. In each list, the "why these?" button explains where the suggestion came from and lets you share how you're doing again.
These suggestions are only suggestions. They produce no legal effects, don't define profiles for third parties and don't make decisions for you. You can accept, ignore, change or delete any suggestion, and you can turn off the check-in at any time.
6. Legal bases
| Processing | Legal basis (LGPD) |
|---|---|
| Tasks, routines, history, preferences, name, photo and usage log | Performance of the service you requested by using the app (Art. 7, V) |
| Health app data and indicators derived from it | Your specific and highlighted consent (Art. 11, I), given when you turn on "read the Health app" and grant permission on the system screen |
| Daily check-in and answers to "did this suggestion help?" | Your specific and highlighted consent (Art. 11, I), given when you choose "sure, ask" during onboarding or turn on "ask about my energy" in Profile; each answer remains optional |
You can revoke your consent at any time (section 10), without affecting the rest of the app.
7. Apple services and sharing
We don't sell, rent or share personal data. The app has no advertising, cross-app tracking, usage analytics tools or third-party SDKs.
Some features depend on Apple's own services, which you already use on your device and which are governed by Apple's Privacy Policy:
- iCloud (CloudKit): syncs tasks, routines and completion history across your devices, in your account's private database. We have no access to this content. iCloud servers may be located outside Brazil, in accordance with Apple's practices.
- Apple Watch: receives tasks through iCloud and the day's indicators directly from the paired iPhone.
- Apple Intelligence: the artificial intelligence features (understanding "find a time" requests, organizing and categorizing tasks, turning text into tasks, and writing the weekly summary, the sentences about what's stuck and the week's energy summary) use Apple's model that runs on the device itself. None of these texts is sent to us or to other services. On devices without this feature, the app uses simpler rules.
- Siri and Shortcuts: if you ask for "Find a time" through Siri or the Shortcuts app, the request is handled by Apple under its own privacy policy, and MyPlanBuddy opens on the "find a time" screen.
- Speech recognition: when you record a task by voice (Buddy+), the microphone is active only during recording and the audio is not saved by the app. Transcription is done on the device when it supports this feature; on devices that don't, Apple's speech recognition may process the audio on Apple's servers.
- App Store: purchases and subscriptions are processed by Apple. We don't receive your payment details.
- System diagnostics (MetricKit): iOS gives the app performance and crash reports, such as launch time, hangs and memory use, without the content of your tasks and without health data. The app keeps these reports only on the device, for up to 60 days, and doesn't send them to anyone. If you turned on "Share With App Developers" in Settings > Privacy & Security > Analytics & Improvements, Apple may show us aggregated performance and crash data, under its own privacy policy. You can turn this off at any time in the same place.
If we ever start using a service that receives personal data, this Policy will be updated beforehand, stating which service, what data and what for. For health data, this will require your new consent.
8. Notifications, widgets and Lock Screen
Reminders are local notifications, created on the device itself, and may show the task and routine names. Widgets, complications and Live Activities may also show tasks, which may appear on the Lock Screen. Health data doesn't appear in them. If you prefer more discretion, adjust notifications and widgets in the system Settings.
9. Security
The app was designed to minimize data: it asks only for the permissions needed for each feature, doesn't send data to its own servers or to third-party servers, and uses the protections of Apple's system, such as encryption of data on the device and in iCloud.
Part of the protection depends on you: use a passcode, Face ID or Touch ID on your device, keep your system up to date and protect your Apple Account. If you turn on Advanced Data Protection for iCloud, synced data gets end-to-end encryption.
No system is completely immune to failures. If a security incident for which we are responsible occurs that may cause significant risk or harm, we will notify the Agência Nacional de Proteção de Dados (ANPD, Brazil's National Data Protection Authority) and the affected people, as provided in Art. 48 of the LGPD.
10. How long data is kept and how to delete it
| Data | How long |
|---|---|
| Tasks, routines and completion history | Until you delete them |
| Name, photo and preferences | Until you change them, remove them or uninstall the app |
| Usage log | 90 days, then it is deleted automatically |
| Usage counts for the assistant and Buddy+ | 62 days, then they are deleted automatically |
| Requests to "find a time" | Not stored; whatever becomes a task follows the rule for tasks |
| Estimated energy, "mood of the day" and the daily check-in | Replaced every day; turning off the check-in deletes the stored answers and mood |
| Health app data | Not stored by the app |
How to delete or revoke:
- Tasks and routines: delete each one in the app itself; the deletion applies to all your devices.
- Photo and name: in the app's Profile.
- Stop using Calendar: turn off "use my Calendar" in Profile; the stored times are deleted. To revoke the permission, go to Settings > Privacy & Security > Calendars.
- Stop the check-in: turn off "ask about my energy" in Profile; the app deletes the answers and the mood noted in the usage log.
- Stop using health data: turn off "read the Health app" in Profile. To also revoke the permission, go to Settings > Privacy & Security > Health > MyPlanBuddy, or to the Health app, and turn off the categories.
- Data synced to iCloud: in Settings > [your name] > iCloud, under Manage Storage, you can delete the MyPlanBuddy data stored in your account.
- Device data: uninstalling MyPlanBuddy deletes the data stored on that device.
- Backups: if you use iCloud backup or computer backup, the app data stored on the device (including the day's indicators) may be part of that backup, which is made and stored by the system, in your account. To remove it completely, also delete old backups.
Because we don't keep a copy of your data, we cannot recover it once it has been deleted.
11. Your rights
The LGPD (Art. 18) guarantees you, among others, the rights to:
- confirm whether your data is being processed and access it;
- correct incomplete, inaccurate or outdated data;
- request anonymization, blocking or deletion of unnecessary data or data processed in breach of the law;
- request data portability;
- request deletion of data processed based on your consent;
- know with whom the data is shared;
- know that you may withhold consent and what the consequences are;
- revoke consent;
- request information about the criteria for automated suggestions (summarized in section 5).
Because your data stays on your device and in your iCloud, you exercise most of these rights directly, through the app and the system settings (section 10). For any other request, or if something isn't clear, contact us through the privacy channel. We respond within the legal deadline and, when the request involves data we don't have, we explain this and tell you where it is.
You can also file a complaint with the Agência Nacional de Proteção de Dados (ANPD), at gov.br/anpd.
12. Children and adolescents
MyPlanBuddy is intended for adults, aged 18 and over, and is not directed at children or adolescents. If someone under 18 uses the app, this should happen with the knowledge and supervision of a legal guardian, who decides on the permissions, especially those for the Health app. Apple's parental controls and Screen Time can restrict access to the app and to permissions.
Because we don't receive data, we have no way to identify the age of the people who use the app. If you are the guardian of a minor and have any questions, contact us through the privacy channel.
13. Data protection officer and communication channel
GBRLRG is a microenterprise and qualifies as a small-scale processing agent under Resolution CD/ANPD No. 2/2022. For this reason, it is exempt from appointing a data protection officer (encarregado) for the processing of personal data (Art. 11 of the Resolution) and maintains a communication channel with data subjects (Art. 11, §1):
14. Changes to this Policy
We may update this Policy when the app changes or when the law requires. The date of the last update is always at the top. Material changes will be announced in the app before they take effect. If a change alters the purpose for which health data is used, we will ask for your consent again.
15. Legislation and contact
This Policy is governed by Brazilian law, in particular the LGPD, the Marco Civil da Internet and the Consumer Defense Code (Código de Defesa do Consumidor).
